Case management system
A case management system is the software a firm runs its cases in: contacts, deadlines, documents, notes and billing. It is the official record. It is rarely where the work actually happens.
Most firms have one. Most firms also have a spreadsheet, a shared drive, a separate intake tool, an e-signature product and an accounting package, and the real process runs across all of them.
Why replacing it is usually the wrong instinct
The system of record is rarely the bottleneck. The bottleneck is the movement between systems — the retyping, the re-uploading, and the things that are true in one place and stale in another.
Replacing the case management system is expensive, disruptive, and leaves the gaps between systems exactly where they were. Connecting what is already in the building is cheaper and fixes the thing that was actually slow.
